Rooftop Systems Ltd ("we", "us", "our") is a flat roofing and roofline installation company serving Staffordshire, Cheshire, Derbyshire and Shropshire. We are the data controller for the personal information collected through this website, rooftopsystems.co.uk.

What information we collect
We collect personal information only when you choose to give it to us:
- Quote and contact forms — your name, email address, phone number, address or postcode, and the details of your enquiry.
- Phone and WhatsApp — if you call us or contact us on WhatsApp, we receive the details you provide during that conversation.
- Technical information — like most websites, our web server automatically records standard log information such as IP address, browser type and the pages visited.
How we use your information
- To respond to your enquiry and provide the quote you requested.
- To arrange surveys, carry out work you have instructed, and provide guarantees for completed work.
- To keep records of enquiries and jobs in our customer management system.
- To measure the effectiveness of our advertising (see "Cookies and advertising" below).
We rely on the following lawful bases under UK data protection law: taking steps at your request before entering into a contract, performance of a contract, and our legitimate interests in running and promoting our business.
We do not sell your personal information, and we do not send marketing emails or newsletters.
Cookies and advertising
This website uses a small number of cookies and similar technologies:
- Essential cookies — a session cookie that makes the website and its forms work correctly.
- Google Ads — we use Google's advertising tags to measure which of our adverts lead to enquiries. If you arrive via a Google advert, a cookie records that click so we can attribute your enquiry to the advert. When you submit an enquiry, a conversion is reported to Google; this may include your email address and phone number in a securely hashed (unreadable) form, which Google uses only to improve conversion measurement. - OpenAI advertising — we use a measurement pixel to understand whether our advertising on OpenAI services leads to enquiries.
- WhatsApp — if you choose to chat with us on WhatsApp, your use of WhatsApp is governed by WhatsApp's own privacy policy.
You can block or delete cookies at any time through your browser settings; the website will continue to work.
Who we share your information with
We share your information only where necessary to handle your enquiry and run our business:
- Our customer management and email delivery providers, who process enquiry details on our behalf.
- Google and OpenAI, for the advertising measurement described above.
- Our own surveyors and installation teams, so they can carry out your survey or work.
We never sell or rent your details to third parties for their own marketing.
How long we keep your information
We keep enquiry and customer records for as long as needed to deal with your enquiry and to honour our guarantees (up to 20 years for flat roofing work), and to meet our legal and accounting obligations. Information that is no longer needed is deleted.
Security
This website is served over an encrypted (HTTPS) connection, and access to enquiry records is limited to the people who need it to deal with your enquiry.
Your rights
Under UK data protection law you have the right to:
- request a copy of the personal information we hold about you;
- ask us to correct inaccurate information or delete information we no longer need;
- object to or ask us to restrict our use of your information;
- complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with how we have handled your information.
